Implementation Process
After the Customer signs the contract with GroupOne Health Source, the Implementation team initiates the Implementation Process. The Implementation Process consists of the following activities:
- Introduction phone call by the Project Manager to schedule a Kick-Off call.
- Receipt of the eClinicalWorks Welcome Pak.
- A Kick-Off Call with the Project Manager. She will help the Customer make choices with integration features and provide milestone dates as part of the Implementation timeline
- Working on Integration Features
- Performing Network Check
- Performing Installation
- Performing Training & Go-Live for Customer and staff
- Performing Lab Integration (optional)
At this time the implementation process is completed, and the practice is up and running with eClinicalWorks.
Implementation Timeline
The following Implementation Timeline is a guideline, for a typical implementation. Each practice has its own individual requirements; therefore, it is only a suggested standard, not a guarantee. This does not include time for data migration, lab interface, or Clearinghouse approval. Typically the Go-Live date is set with your Project Manager once all of your hardware is received and your IT staff has installed your network and hardware.
Note: Estimated Timeline may be less for Practices that utilize GroupOne's eCW Billing Services.
Week 1:
- Receive signed contract
- Schedule Kick-Off call & send Welcome Pack
- Perform Kick-Off call
- Start enrollment process with Clearinghouse
Week 2:
- Return EDI Questionnaire and Customer Discovery
- Data Migration process begins and continues through Implementation (optional)
- Send hardware specifications to GroupOne Health Source for review and approval
- Return Section III – IT Information & Checklist (Your provider license(s) will not be given if this document is not sent back to your project manager at GOHS.)
Weeks 3-6:
- Network Check
- Installation
- On-line Training & File Build Begins
- Training and Go-Live (typically during week 4-6 after hardware is received at client's office)
Weeks 10-14: Optional follow-up trainings
